How to Create a Custom Dictionary in Word 2007

  • IF you use Word 2007 to create professional documents, then jargon forms a large part of your typed work.Although you might have used the 'Add to Dictionary' to append the misspelt word to the default custom word dictionary, you can create a dedicated custom dictionary which contains these terms which you may use generally. To do so, carry out the following steps:

    • Go to 'Start | All Programs |Accessories | Notepad'.
    • Type one term per line in the notepad file.
    • Click 'File | Save As' to save the file.
    • Select the 'All files' option from the 'Save as type' drop-down list.
    • Type the file name and add the extension as '.dic'.
    • Select 'Unicode' from the 'Encoding' drop-down list and save the file.

    To set the file as a custom dictionary,carry out the following steps:

    • Start Word 2007. Click the 'Office button'.
    • Select the 'Word Options' button appearing at the foot of the dropdown list.
    • Click the 'Proofing' tab from the left-side panel of the 'Word Options' dialog box.
    • Click the 'Custom Dictionaries…' button appearing under the 'When correcting spelling in Microsoft Office programs' section of the dialog box.
    • Click the 'Add' button from the 'Custom Dictionaries' dialog box.
    • Browse for the saved '*.dic' file and click 'Open'.
    • Once the file appears in the 'Custom Dictionaries', make sure that the checkbox against the file entry is checked on.
    • Click 'OK' to close the 'Custom Dictionaries' dialog box.
    • Click 'OK' to close the 'Word Options' dialog box.

    Hide Text in a Word 2007 Document

  • Wondering if you can remove some of the data from your document and still preserve it for future reference? Or else you may want to enter some text that is only visible to you and no one else who views the document?
    Simply hide the text and see the magic. Your data is there and yet invisible at the same time. Yes, only you will know that some additional data exist as others will not be able to view it. To hide text in a document:

    • Open the Microsoft Word document.
    • Select the text that needs to be hidden.
    • Click on the ‘Home’ tab.
    • Under the ‘Font’ section, click on the small arrow at the right-end corner to open the ‘Font’ dialog box.{ For MS Word 2003, select ‘Format |Font’.}
    • Under the ‘Effects’ section, click in the check box next to ‘Hidden’.
    • Click ‘OK’.
    • To make the text visible again, select the whole document by pressing [Ctrl] +[A].
    • Then go back to the same options and uncheck the option ‘Hidden’. Your text is back again.

    Insert a Watermark in Word2007

  • When making professional documents  for presentations and advertisements you may need to have watermarks on the page. Do you know that you can place a watermark on a document page using MS Word?
    A watermark is a translucent impression that is made on the paper during its manufacturing process to identify the paper manufacturer. You  might have seen paper with the text ‘Draft’, ‘Confidential’, or ‘Urgent’. You can also choose to use your company logo as a watermark on official documents. In the following steps, we’ll show you how to insert a watermark on documents that you create.

    • Open the Microsoft Word document.
    • Click the ‘Page Layout’ tab on the ribbon.
    • Under the ‘Page Background’ section,click on the arrow next to ‘Watermark’.
    • Click on the ‘Custom Watermark’ option.
    • Click on the option next to ‘Picture watermark’.
    • Click the ‘Select Picture’ button.
    • Browse to the location of the image to be inserted as the watermark and select the image.
    • Click on the ‘Insert’ button. Click on the ‘Washout’ check box if you need it to be a very pale background.
    • Click ‘OK’.

    How to Adjust the Width of the Characters in Word 2003&2007

  • You can adjust the look of the characters horizontally in your document. Word enables you to adjust the appearance of your text without affecting the height. This can be done using the scaling feature available in Word. Scaling can be applied to any character in the selection.Here is what you need to do.

    • Select the characters to be scaled.
    • Click ‘Format | Font’.
    • In the dialogue box click the ‘Character Spacing’ tab.
    • Select the required scaling value to be applied to the characters from the drop-down list.
    • Enter any value between 1% to 600% in the drop-down box, finally click ‘OK’.

    If you scale the characters in your document on a regular basis, add a scaling tool to the Quick Access toolbar for ease.Here’s how you can do it:

    • Click ‘Office’.
    • Now click ‘Word Options’.
    • From the left, click ‘Customize’
    • Now, choose ‘All Commands’
    • Select ‘Character Scaling’
    • Click once to select the command.
    • Click ‘Add’
    • Click ‘OK’ to save the changes.

    You can view the command on the Quick Access tool bar appearing on the top of the Word 2007 window.

    How to Add a Drop Cap in Word

  • A nice way to begin a new topic or section in your document is by using a drop cap. A drop cap is an enlarged,capitalized first alphabet of the beginning paragraph. It gives the document a professional and classy look. The drop of the alphabet usually scales down three lines.

     

    Follow these steps to add a drop cap to your document.

    • Place your cursor anywhere within the first paragraph.
    • Click the ‘Insert’ tab.
    • Select ‘Drop Cap’ from the ‘Text’ section.
    • Choose the style of drop cap you want to apply to your text from the drop down list. A default drop cap will be added. If you still want to change the look of the drop cap, follow these steps.
    • Select ‘Drop Caps Options’ from the ‘Drop Cap’ menu.
    • Select the type of drop cap you want  to apply to the document from the ‘Position’ section.
    • From the ‘Options’ section, you can  change the font style, drop cap size and the distance of the drop cap from the text.
    • Click ‘Ok’ once done.
    • Your document will get an all new  look with the applied effect to the first alphabet of the text.

  • Here is a trick to create columns in MS Word with out touching the mouse.

     

    Just type +------------------+------------------------+ and PRESS ENTER.

    Word will automatically insert a table.

    To add a new row just hit tab again when you are in the last column to the right. You can add as many rows to your table (box) as you want using this method. The + symbol indicates a column break, and the --- symbols indicate the width of the column you want the table (or box) to be.

  • The Document Inspector in Microsoft Word 2007  provides a central location for you to examine documents  for personal, hidden, or sensitive information. You can  use built-in Document Inspector modules to remove unwanted information more easily. Utilizing the Inspector tool is one way of safeguarding any information you want to remain private.

    In documents, personal information is any information that identifies or can be used to identify, contact, or locate the person to whom such information pertains.This includes

  • Your name and initials

  • Your company or organization name

  • The name of your computer

  • The name of the network server or hard disk drive where you saved the document

  • Other file properties and summary information

  • Non-visible portions of embedded OLE objects

  • The names of previous document authors

  • Document revisions

  • Document versions

  • Template information

  • Hidden text

  • Tracked changes and comments

  • How to use it?

    1.Click the Microsoft Office Button and point to Prepare

    2.Click Inspect Document. The Document Inspector dialog box is displayed.When launching the inspector, if you haven't saved your file before making the most recent changes, you will be prompted to do so. It's not required that you save; however, the reason we provide this dialogue is because once you run the inspector, and choose to remove certain components of a document, they are GONE.

    3.Select the modules corresponding to the types of content you want to search for, and then click Inspect.After the inspection is finished, the Document Inspector dialog box shows which modules found content in the document. It also provides buttons to remove that content.

    The Inspect button also changes to Reinspect. If you click the Reinspect button at this point, the Document Inspector screen is re-displayed, enabling you to choose additional modules for inspection.

    4.To select other modules for inspection, click Reinspect. Otherwise, click Close.

    How to Shrink Document by One Page in Word 2007.

  • A document whose last page is mostly blank is a waste of printer paper, especially if you have to make a lot of copies. Your letters and mailings will also look mere profes­sional if they fill the pages nicely. If Print Preview reveals a skimpy last page.  Shrink One Page button in Word will tweak the fonts lathe document to make it a page smaller. Don't like the results? Just press Ctrl-Z to Undo.

  • Display your document in Print Preview (by either clicking on the Print Preview button on the toolbar or choosing the File, Print Preview command)

  • Click on the Shrink to Fit button on the toolbar of the Preview window

  • Click on the Close button to exit preview and return to your previous view

    Word will automatically reduce the font size of the document (maintaining the relative font sizes).
